What does one more request do to your margin?

Put a number behind the extra work. Compare the agreed baseline with an added request, then see the remaining fee gap at your chosen margin.

Private by design. Your inputs and comparisons stay in this tab.

How to use the agency scope creep calculator

Add the request’s internal delivery and direct costs to the baseline project cost. Add only approved extra fees to revenue. Compare the revised margin with the baseline, then calculate any remaining fee needed for your target margin. A fee gap is a scenario result, not client approval or an invoice.

Make the assumptions yours

A clearer decision
starts with your numbers.

The starting values are an example, not industry benchmarks. Use a consistent currency and cost basis.

Agency scope creep calculator inputs

Use fees excluding separately collected sales tax or VAT. Include pass-through amounts in both fees and costs, or exclude them from both.

Agreed baseline

Enter zero if overhead is already included in your hourly costs.

Delivery roles 1

Use a role or responsibility, such as design or development.

Total hours for this role in the scenario.

Cost to your agency, including employer costs where applicable. This is not your client rate.

Delivery roles 2

Use a role or responsibility, such as design or development.

Total hours for this role in the scenario.

Cost to your agency, including employer costs where applicable. This is not your client rate.

Up to 50 roles. Each row is assessed separately.

The added request

Only extra fees already agreed. The remaining gap excludes this amount.

Added delivery roles 1

Use a role or responsibility, such as design or development.

Total hours for this role in the scenario.

Cost to your agency, including employer costs where applicable. This is not your client rate.

Up to 50 roles. Each row is assessed separately.

Margin to assess

Use a percentage below 100. Margin is profit divided by revenue, not a markup on cost.

Formatting only. No currency conversion or exchange-rate lookup. Hours are unchanged.

Nothing hidden in the math

How the calculation works

Calculations use unrounded values. Results are rounded for display only.

Added cost

Sum of added hours × internal hourly cost + added direct costs

Use nonnegative additions. This tool does not estimate refunds, reduced scope or schedule changes.

Revised project

Revised cost = baseline cost + added cost; revised fee = baseline fee + approved extra fee

The baseline uses the same cost definitions as the project profitability calculator. Avoid counting overhead twice.

Margin change

Revised margin − baseline margin

The difference is in percentage points. A change from 40% to 30% is a fall of 10 percentage points.

Remaining fee gap

Maximum of 0 and [revised cost ÷ (1 − target margin ÷ 100) − revised fee]

Approved extra fees are already in the revised fee and are subtracted exactly once.

Before you decide

Common questions

Is the fee gap an amount I can invoice now?

No. It is the extra fee implied by your scenario and target margin. Confirm the scope, commercial agreement and authorized decision before invoicing.

What if the client already approved an extra fee?

Enter it in the approved extra fee field. It increases revised revenue and reduces the remaining gap. Do not enter it again as a separate fee.

Can this estimate the delivery delay?

No. It estimates cost and margin impact only. Assess dependencies, role capacity and revised dates separately.
